    Connect Xero

    Sign in to Xero from TimeDockr and approve the connection. Your employees and pay calendars come across, and everyone gets their own 4-digit PIN.

    Set up a tablet

    Scan a code with the tablet you’ll mount at work, or type six digits. It installs as an app, and we show you how to pin it to the screen so nobody can leave it.

    Staff tap their PIN

    At the start and end of each shift. The tablet shows their name and the time, so they know it worked. Unpaid breaks come off by your rules.

    Hours arrive in Xero

    Check the pay period, fix anything that needs it, and push. Each timesheet lands in Xero Payroll as a draft, ready for your pay run. Then close the period.

Questions

The things people ask first

What happens if the internet goes down?

The tablet keeps working. Staff tap their PIN as normal, the times are saved on the tablet, and a banner shows how many are waiting. When the connection comes back, they’re sent on their own. The tablet does need to be online once after setup so it can download your staff list.

What if someone forgets to clock out?

The dashboard shows who’s still clocked in, and you can turn on a daily email that lists anyone who hasn’t clocked out. You set their clock-out time on the timesheet. If a shift has been open longer than your maximum shift length (16 hours unless you change it), their next tap starts a new shift and the tablet reminds them to clock out next time.

Do I need Xero?

Yes. TimeDockr needs Xero Payroll. Your employees and pay calendars come from Xero, and timesheets go back to it. Without Xero Payroll there’s nothing for TimeDockr to work with.

What happens when the free month ends?

You don’t give us a card to start, so nothing is charged automatically. We remind you a week before the trial ends and again the day before. If you don’t subscribe, the account pauses: staff can’t clock in and timesheets can’t be sent to Xero until the owner subscribes. Nothing is deleted.

What if someone clocks in for a mate?

TimeDockr doesn’t use photos or fingerprints, so it can’t stop someone typing another person’s PIN. What it does: every person has their own PIN, unique within your business, and PINs are hidden on the Employees screen until you choose to show one. If you think a PIN has been shared, generate a new one. The old one stops working on every tablet straight away.

Can I fix a mistake on a timesheet?

Yes. Admins can add, change or remove an entry, or change a day’s unpaid break, while the pay period is open. Every change is marked on the timesheet with the name of the admin who made it. Once a period is closed its hours are frozen, and only the owner can reopen it.

What happens to my data if I stop paying?

The account locks, but nothing is deleted. You can still sign in and download your records as a spreadsheet or PDF. Timesheets already sent to Xero stay in Xero. Your data is only deleted if you delete your account yourself.
